RENUMERATION: Dependant on experience

TERM OF APPOINTMENT: Full time

HOURS OF WORK: Monday – Friday: 9-5

HOLIDAYS: 23 days in addition to statutory holidays

REQUIRED EXPERIENCE: Office manager experience in a creative environment, ability to work quickly and independently, ability to be flexible and to problem solve, ability to be efficient and use your own initiative, a high level of IT literacy (specifically with social media platforms, email, Microsoft, calendars and databases [we use Outlook and a programme called ArchiOffice]), communication skills (both written and spoken).

REQUIRED QUALIFICATIONS: Qualifications in English, Maths and IT will be looked upon favourably (especially at A-Level and higher).

lapd Architects provide a range of residential/ commercial architectural support and services around the country: from initial feasibility and concept design, through the technical process, leading to construction supervision and eventual project completion. We are a medium-sized architectural practice that has won awards for our designs and are constantly pushing all aspects of our business to achieve their upmost potential. Our business is thriving, and with this growth has come the need to expand our administrative staff. We have created a third non-architectural position, and so in addition to Finance Manager and Communications Manager we are looking to employ an Office Manager. The Office Manager will first and foremost be an ambassador for our company’s client focussed perspective on business and architecture.

If you were to be accepted in the position, your main area of jurisdiction would be two-fold. Firstly, you would be directly responsible for the smooth running of the office in order to allow the architects to focus on the work at hand: managing incoming calls, ensuring supplies are well stocked, posting letters, helping with anything the architects may require. Secondly, you would be involved in a process which begins as a new enquiry is received and ends as a potential project becomes paid work for the architects. This work would take place under the supervision of the Communications Manager.

Enquiries are brought in by advertising online, in print and at events. You will be involved with the marketing efforts and social media campaigns as overseen by the Communications Manager. At this point you would be expected to be involved with the communicative aspects of arranging initial client consultations with directors (through our IT based calendar system and database) and allaying any queries they may have. This involves: organisation of the directors’ diaries, good communicative skills (spoken and written) and an understanding of the business process as a whole. You will be acting essentially, in this regard, as a PA to the Directors.

If a client decides to enlist our services at lapd you will be a part of the hand over to our skilled team of architects – from conditional fee proposal to actual project. There will be a continued admin responsibility, although diminished from your initial involvement, until the project’s completion. This last part of an office manager’s job description mainly involves archiving files and being part of the team that documents budgeting and expenses. This general administrative responsibility is vital to the smooth running of the tightly time-managed day to day business proceedings.

Your role will be overseen by the Communications Manager, and your day to day responsibilities will include:

-Office management: ensuring the office and architects are well resourced

-Calendar management for the directors

-Front end communications: phone calls and email liaison

-Architectural administration: learning the processes of the firm and helping to keep the architect’s work flow moving at an efficient pace

-Relational client communication: working with the Communications Manager to secure jobs and follow up potential clients

-Social media and marketing management: working under the Communications Manager to schedule content

The Office Manager is an essential part of the team both organisationally and in terms of revenue.
